A founder-led wedding and event entertainment company — DJs, live musicians, photo booths, and string lighting — serving couples across five states. It's a high-volume, high-touch business: hundreds of weddings a year, each one a once-in-a-lifetime event. And every booking starts the same way: as an inquiry that has to be answered fast, followed up consistently, and nurtured for months before the big day.
The challenge
The leads were never the problem — the volume was. Inquiries poured in from everywhere: The Knot, WeddingWire, Google, referral networks, the website, wedding shows — more than ten different sources, each in its own inbox and portal. Pulling them together, deduping them, and keeping track of who had been contacted was a daily manual grind.
Two things made it worse:
- Speed-to-lead. In wedding entertainment, the vendor who replies first usually wins the call. Being fastest meant the founder living in the inbox — and even then, responses averaged around two hours and varied depending on how busy the day was.
- Endless follow-up. Every lead needs multiple touches over weeks or months — an initial reach-out, a second, pre-wedding check-ins, post-wedding advocacy. Done by hand, across hundreds of live leads, it simply didn't scale.
The founder was the system. Growth was capped by how many leads one person could personally chase — and there was no more room to push.
What we built
One automated lead engine, with monday.com as the hub and Make.com as the automation layer wiring every booking source into a single flow:
- Unified capture — every source (The Knot, WeddingWire, Google, Bark, referrals, the website, wedding shows) flows into one pipeline, automatically deduped and tagged by referral source and market.
- Instant, personalized response — within about three minutes of an inquiry, a tailored reply goes out that still reads as human and personal, but is automated and perfectly consistent across every single enquiry. No more inbox-watching to be first.
- Automated multi-touch follow-up — reach-outs, pre-wedding check-ins, and post-wedding advocacy are all scheduled off the wedding date, skip weekends, and stop themselves the moment a call is booked.
- Market-aware routing — leads are routed and handled by region across all five states, with availability, venues, and pricing managed per market.
- Scheduling & calendars — Calendly and Google Calendar are integrated so calls and gig dates stay in sync automatically.
The same system now extends to the client-facing side too: a couples' portal for booking, event-timeline planning, and music selection lets clients self-serve the details that used to bounce back and forth over email.
Three key results
1. Bookings more than doubled
In the first full year on the engine, the company more than doubled its weddings booked year over year. The growth was hard-won founder work — but it was only possible because the automated lead system handled capture, instant response, and follow-up at a scale no person could match by hand.
2. Response time: 2 hours → 3 minutes
Average lead response dropped from about two hours — and constant inbox monitoring — to roughly three minutes, fully automated. Every couple now gets a fast, personal, identical-quality reply, so the business is consistently first to the conversation that wins the booking.
3. ~2 hours saved on every lead
End-to-end effort per lead fell from about 3 hours to 1. At current volume (~1,800 leads a year) that's roughly 70 hours a week reclaimed — close to two full-time workweeks — redirected from chasing leads to closing and delivering weddings.
